Hosting and technical requests

This website is hosted on Cloudflare Pages. Delivering a website can involve processing technical request information. Request logging, retention periods, and any additional hosting-level services have not yet been verified. Disabled Web Analytics does not establish that Cloudflare processes no technical request data. Cloudflare describes its practices in its privacy policy.

Analytics and cookies

This build includes no analytics scripts, advertising pixels, embedded media, or application code that sets cookies or browser storage. Cloudflare Web Analytics is disabled, as confirmed in the project dashboard. Analytics are planned but have not been enabled. This does not establish the absence of other hosting-level processing. Hosting-level features and any future integrations must be reviewed separately, and this notice updated before activation.

Email and external links

Email links open your own email service. General inquiry emails sent to [email protected] are handled through Google Workspace (Gmail), outside this static website. The address currently operates as an alias, not as a separate mailbox. Linked organizations operate under their own terms and privacy practices.

Inquiry-email retention

Daily retention checks are enabled for routine VeriTrad inquiry conversations. Eligible conversations, including their email attachments, are moved to Gmail Trash once at least 12 calendar months have passed since the latest sent or received message in the conversation. Newer messages restart that period. The check uses all newer messages as a conservative safeguard rather than assuming that an exchange is no longer substantive. Daily processing limits, errors, or cases needing review can delay movement beyond the 12-month threshold.

Conversations needed for an ongoing collaboration, a documented legal obligation, or a dispute are preserved. Retention holds and uncertain cases are excluded from automatic movement to Trash; exceptions require a recorded reason and periodic review. Restricted knowledge or unnecessary personal information received unexpectedly should be reviewed promptly and handled appropriately rather than routinely retained.

Gmail normally permanently deletes messages from Trash after another 30 days. The retention agent does not permanently delete messages or empty Trash. Moving an email to Trash does not establish irreversible erasure: provider retention, legal holds, backups, and copies outside the inquiry mailbox have not been verified.

Automated retention checks

A Notion AI agent connected to the inquiry mailbox processes inquiry-email content and metadata to assess age, scope, and retention exceptions. It is configured to check complete conversations before moving eligible threads to Trash, not to download attachments or send emails. Its private run reports are configured to minimize personal information and exclude message bodies and attachments. This email-processing automation operates outside the static website.

Implementation status: the daily automation is enabled. The initial read-only test found no overdue inquiries and moved no messages; successful movement of an overdue inquiry to Trash has not yet been verified. This notice does not promise permanent deletion at 12 months or verified erasure from provider systems or backups.
